Patron Services and Events Manager (part-time, contract position)
Tafelmusik seeks an organized, energetic, and collaborative Patron Services and Events Manager to oversee and support our patrons’ experience at Tafelmusik performances and events.
Reporting to the Director of Marketing & Communications and working closely with the Box Office Manager, Front of House Manager, and Production team, our ideal candidate has a proven track record in front-of-house management for the performing arts.
Our successful candidate is accountable; able to manage multiple tasks and pressures with efficiency and attention to detail; an adaptable personality who can think proactively in a dynamic work environment; and an individual who leads with compassion and works respectfully and effectively with patrons, artists, and staff. This position involves evening and weekend work in line with Tafelmusik’s performance and events schedule.
Responsibilities
Venue Management
- Foster welcoming interactions, with high standards of customer service, as part of Tafelmusik’s frontline patron experience
- Provide and/or supervise all venue management duties for performances and events at Tafelmusik’s home venue, Jeanne Lamon Hall at Trinity-St. Paul’s Centre
- In consultation with the Front of House Manager and usher team, ensure the smooth execution of all front-of-house functions
- Liaise with Stage Management, ensuring all stage access points are monitored and secure
- Prior to performances/events, ensure:
- All front-of-house materials (i.e. headsets, walkies, event brief, seat maps) are prepared and in good working order;
- Awareness of key details via pre-concert staff meetings, approx. one week prior to each performance run;
- Booking of St John Ambulance first aid volunteers as required;
- All event-related spaces are tidy, well-maintained, and in good working order, taking appropriate action as needed; and
- Lobby signage and furniture are properly set up, in consultation with the Marketing and Development teams.
- At performances/events, liaise with the Box Office, Production, Front of House/Usher and Stage Management teams and staff on duty on matters including accessibility seating, patron issues, etc.
- Serve as Tafelmusik liaison for performances at external venues (e.g. Koerner Hall at the Royal Conservatory of Music, Massey Hall, and others), ensuring a consistent Tafelmusik patron experience
- Update/maintain front-of-house policies and procedures including audience safety, accessibility, and fire and evacuation procedures; ensure staff and volunteers have necessary training regarding same
- Address any/all patron questions and concerns, implementing Tafelmusik’s standard resolution procedures as required.
- Following performances/events, ensure:
- Front-of-house materials, including banners and signage, are stored;
- Event-related spaces are properly reset for the next day;
- Remaining house programs are collected for archival use and/or recycled;
- St John Ambulance volunteers are debriefed and released;
- All patrons, artists, and staff have departed, locking/alarming the Tafelmusik offices;
- Usher invoicing collected, reviewed, and submitted for payment processing;
- Post-concert report(s), including any incident reports, are completed and filed;
- Key performance run details are debriefed via post-concert staff meetings
Collaboration
- Work collaboratively with other organization stakeholders, including but not limited to the Box Office, Marketing, Production, Front of House/Usher and Stage Management teams, to develop and maintain a coordinated approach to the patron experience
- In consultation with the appropriate departments, strategize for, organize, and oversee volunteers for specific initiatives
- Exercise flexibility and adaptability as priorities change and evolve; assist team members as required to achieve patron-related objectives
Accountability
- Act as primary onsite contact for all Tafelmusik performances/events at its home venue
- Develop critical paths, processes, checklists, and timelines, coordinating multiple priorities and sharing vital information with all key stakeholders
- Monitor progress to timelines and budget goals; course correct accordingly
- Keep up to date with developments in front-of-house/volunteer management
Other Duties
- Attend team and staff meetings, and other events as required
- Fulfill other duties as notified by the Director of Marketing & Communications
Qualifications
- A minimum of five (5) years’ experience and a proven track record in front-of-house management for the performing arts
- Knowledge of and passion for classical music and/or the performing arts an asset
- Excellent leadership skills and supervisory experience in a customer service/hospitality environment
- Ability to manage multiple tasks, details, and deadlines in a timely and accurate manner
- An adaptable personality who can think proactively in a dynamic work environment, demonstrating diplomacy/ability to quickly assess and resolve patron issues arising
- An ability to work respectfully and effectively with patrons, artists, and staff
- Strong knowledge of Microsoft Office Suite, web-based applications, and databases.
- SmartServe and First Aid training
- A thorough understanding of accessibility matters and community spaces
- A high level of personal and professional integrity.
TERMS OF EMPLOYMENT
This is a part-time contract position based on 400 hours across a ten (10) month season (September to June). Attendance at all performances/events is mandatory. Evening and weekend work is required.
