We seek an experienced, detail-oriented Artist Services & Operations Manager to provide administrative and logistical support for the artistic and operations activities of Tafelmusik. The successful candidate manages all artist services; administers artist and venue contracts/bookings and collective agreement data/timelines; maintains an OPAS database; serves as Administrative Coordinator for the Tafelmusik Baroque Summer Institute; coordinates human resources, information technology, and office management data/requirements; and completes other administrative duties as required. This role is ideal for a hard-working team member who seeks opportunity and experience in Arts Administration and/or Artist Management.

This is a maternity leave position (Jan 16, 2024-Feb 28, 2025) at 24-28 hours/week, except for May/June 2024 at full-time hours for the Baroque Summer Institute. This position involves evening and weekend work in line with orchestra and choir schedules.   

Responsibilities

Reporting to the Director of Artistic Administration & Operations, the Artist Services & Operations Manager works closely with the Assistant to the Artistic Co-Directors, Operations team, and external partners to fulfill all guest artist and extra musician services and communications with efficiency, timeliness, accuracy, and attention to detail. He/she/they manage travel authorizations and CRA tax waiver applications; travel, accommodation, and per diem arrangements; guest artist itineraries, program master lists, event summaries; and meet and support visiting artists in performance weeks. He/she/they attend to artist/venue contract administration, including the Tafelmusik Core Orchestra General Agreement, ensuring timelines and requirements are met; and maintain orchestra/choir attendance and leave records. He/she/they have primary responsibility for OPAS database administration, including season setup/updates, artist profile management, and general maintenance.

The Artist Services Manager also fulfills all administrative functions for the Tafelmusik Baroque Summer Institute, including promotional support, application/acceptance/registration processing and communications, and onsite administrative leadership.  He/she/they administer and maintain personnel records, HR documents, staff onboarding and compliance training, and staff vacation and leave tracking; oversee IT service requests and maintenance requirements; serve as primary contact for facility management; and support the Operations Department as required.

Qualifications

Our ideal candidate is a highly organized, energetic, and collaborative professional, who has:

  • Minimum 3 years’ artist services and/or arts administration experience in the performing arts (music a definite asset)
  • Proven track record in managing multiple projects, details, budgets, and deadlines with high professional standards, accuracy, and attention to detail.
  • Sound knowledge of Microsoft Office Suite, web-based applications, and database management (OPAS experience a definite asset)
  • Basic familiarity with HR, IT, and facility management functions
  • An adaptable personality who can think proactively and problem-solve quickly in a fast-paced, dynamic environment.
  • A compassionate attitude and a demonstrated ability to work respectfully and effectively with artists, staff, venues, and external partners.
  • A high level of personal and professional integrity

Remuneration

$36,000-$40,000 for the employment term, based on experience
